Duties and Role :
Operational Support :
- Provide day-to-day support to the Business in utilizing the NCIA toolset, entering requests and information to keep technical staff focused on their primary tasks.
- Monitor and assist with project creation, resource allocation, and time management through ServiceNow.
- Maintain and manage project health data, extracting and reporting key metrics for management visibility.
Strategic Alignment :
Support the alignment of Business Area plans with Agency and OE strategic objectives using approved prioritization processes.Coordinate Order Books to ensure project alignment with strategic goals.AI-Related Tasks :
Collaborate with Information and Knowledge Management (IKM) teams to enhance data accuracy and support AI-driven analytics.Administrative and Logistical Coordination :
Arrange travel assignments, including accommodation, NATO Travel Authorization, and security clearances.Organize meetings, workshops, and conferences, handling all logistical requirements and participant coordination.Prepare, review, and format administrative documents, ensuring consistency and compliance with Agency guidelines.Act as a primary point of contact for team members, managing inquiries, scheduling, and daily business operations across IaaS.Documentation and Reporting :
Develop and maintain a project documentation library with strict version control.Assist in the preparation of monthly Electronic Project Health Reports (EPHRs) and extract data reports from ServiceNow and Excel.Generate PR-PO reports in EBA and prepare meeting minutes, price proposals, and administrative memoranda.General Administrative Support :
Organize and schedule appointments, assist in developing reports, and draft meeting minutes.Handle requests and queries from senior management, ensuring efficient and reliable administrative support.Submit and reconcile expense reports, maintain accurate filing, and coordinate information flow within the team.Requirements :
Skill, Knowledge & Experience :
The candidate must have a currently active NATO SECRET security clearanceExtensive knowledge of and experience in NATO structure and processes.Previous experience providing resource management support in IT Infrastructure environments.Knowledge of ServiceNow, especially in Strategic Portfolio Management, and prior experience in NATO-specific customer funding environments.Experience in budget planning, cost accounting, resource planning, and project / portfolio management.Strong understanding of and experience with ERP systems (EBA), especially Oracle R12, with demonstrated analytical skills.Experience with data management and knowledge of AI applications within project environments.Strong organizational and multitasking abilities with meticulous attention to detail.Ability to take initiative, adapt to dynamic work environments, and resolve administrative problems effectively.Experience working in international settings involving both military and civilian elements.
