We are currently on the lookout for a Service Coordinator to join our team in Ghent, Belgium , where you will help manage our operations in the German-, French-, and Dutch-speaking markets.

Position Overview :

In the role of Service Coordinator , you will be the main liaison for our German, French, and Dutch-speaking customers. Your responsibilities will include managing service inquiries, coordinating repair and maintenance schedules, and ensuring smooth communication between customers, dealerships, and our internal teams. Your role will be crucial in maintaining high levels of customer satisfaction and efficient service delivery.

This position offers a hybrid work model , allowing you to work 2 days in the office in Ghent and 3 days remotely , providing the perfect balance of flexibility and team collaboration.

Key Responsibilities :

  • Act as the primary contact for German, French, and Dutch-speaking customers, addressing their inquiries, scheduling service appointments, and resolving any issues or complaints.
  • Coordinate repair and maintenance appointments between customers and dealerships.
  • Ensure effective and clear communication between all parties, including customers, service teams, and dealerships.
  • Monitor and track the progress of service requests to ensure timely resolution and customer satisfaction.
  • Follow up with customers post-service to confirm their satisfaction and address any additional concerns.
  • Escalate complex or unresolved issues to the appropriate internal departments.
  • Provide regular updates to customers regarding the status of their service requests.
  • Maintain accurate records of customer interactions, service history, and feedback in our CRM system.
  • Collaborate with internal teams to improve service processes based on customer feedback.

Qualifications :

  • Fluency in German, French, and Dutch (both written and spoken) is required.
  • Previous experience in customer service, service coordination , or a similar role is preferred.
  • Strong communication and interpersonal skills, with a focus on providing exceptional customer service.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.
  • Interest or experience in the automotive industry is a plus but not mandatory.
  • Proficiency in CRM systems and general office software (Microsoft Office : Word, Excel, Outlook).
  • Strong organizational skills, attention to detail, and the ability to work independently as well as part of a team.
