As a Legal Assistant, you will provide high-quality administrative support to Partners and attorneys. You play a key role in enabling legal services to clients. In addition, you will support your team with your knowledge and expertise in managing their daily workload and business development efforts. Description
- Collaborate with the legal assistant team to provide comprehensive personal assistance and administrative support, taking ownership and ensuring work is done efficiently and appropriately so that attorneys can focus on providing the best legal services to clients
- Proactively manage and maintain attorney calendars; coordinate meetings with internal and external clients, ensuring effective scheduling of all work activities and resolving potential challenges
- Organize meetings, including booking rooms and conference facilities, liaising with internal and external participants, and ensuring catering and technical equipment are available
- Preparing agendas, presentations and meeting documents, including print production and timely distribution; ensuring lawyers have all documents and adequate preparation time
- Proactively support attorneys with work requirements and encourage and support all team members to utilize the team
- Communicate with attorneys on progress of tasks
- Ensure clear and concise reporting of tasks and proper filing of tasks and supporting materials (e.g., email instructions / discussions)
- Accurate and timely use of our practice management system to open, track, close and file cases
- Client onboarding and accurate entry of client information, including details provided on invoices
- Drafting, modifying and formatting documents
- Professionally handling incoming and outgoing phone calls and relaying messages to appropriate individuals
- Arrange travel reservations, including visas, flights, cabs, accommodations and rental cars
- Provide administrative support for conflict investigations and handle audit requests optimally
- Improve processes, implement improvements and share knowledge
- Support other ad hoc tasks assigned or initiated by you
- Ensure compliance with all relevant company standards and guidelines
