We are currently hiring a Service Coordinator to join our team in Ghent, Belgium , where you’ll support our operations across multiple language markets.

Position Overview :

As a Service Coordinator , you will be the main point of contact for our German, French, and Dutch-speaking customers. Your role will involve handling service inquiries, coordinating repair and maintenance appointments, and ensuring seamless communication between customers, dealerships, and our internal teams. Your efforts will be critical in ensuring customer satisfaction and efficient service delivery.

This role offers a hybrid work arrangement , allowing you to work 2 days in the office in Ghent and 3 days remotely , providing a balance of flexibility and in-person teamwork.

Key Responsibilities :

  • Serve as the primary contact for German, French, and Dutch-speaking customers, managing inquiries, scheduling service appointments, and addressing any issues or complaints.
  • Coordinate service and maintenance schedules between customers and dealerships.
  • Ensure clear and effective communication among all parties involved, including customers, service teams, and dealerships.
  • Monitor and manage the status of service requests to ensure timely resolution and high customer satisfaction.
  • Follow up with customers after service completion to confirm their satisfaction and address any additional concerns.
  • Escalate complex issues to the relevant internal departments for resolution.
  • Provide regular updates to customers regarding the progress of their service requests.
  • Maintain detailed records of customer interactions, service histories, and feedback in the CRM system.
  • Collaborate with internal teams to improve service processes based on customer feedback.

Qualifications :

  • Fluency in German, French, and Dutch (both written and spoken) is essential.
  • Previous experience in customer service, service coordination , or a similar role is preferred.
  • Strong communication and interpersonal skills, with a focus on delivering outstanding customer experiences.
  • Ability to manage multiple tasks efficiently in a fast-paced environment.
  • Interest or experience in the automotive industry is advantageous but not required.
  • Proficiency in CRM systems and general office software (Microsoft Office : Word, Excel, Outlook).
  • Excellent organizational skills, attention to detail, and the ability to work both independently and as part of a team.
