We are looking for a versatile and highly-organised assistant to perform personalised administrative duties for an artist of the agency. You will be responsible for tasks such as making travel arrangements, updating websites, handling correspondence on behalf of the artist with certain concert organisers and competition candidates, as well as assisting with the organisation of festivals in person and with other duties when required.

To ensure success as a personal assistant, you should exhibit excellent and punctual organisational skills, proactivity and smooth collaboration with the other members of the agency. Accomplished personal assistants are intuitive to the needs of the artist and can also work autonomously to provide customised administrative support.

Responsibilities :

  • Managing internal and external communication (email, phone, WhatsApp) with and on behalf of the artist.
  • Booking travel arrangements including flight tickets, accommodation, contracts, visa.
  • Managing personal agendas (middle and long term planification) + sending reminders to optimise vision and costs.
  • Managing websites and social media, including elements such as biographies.
  • Assisting with the organisation of IMF Paris, CFYTO and CFIPC Festivals.
  • Observing best administrative practices and etiquette.
  • Helping with the plannings for masterclasses of the artist (Brussels, Paris, Split, etc.).
  • Managing concert programs, CVs, pictures of the artists, etc.
  • Handling invoices and taking care of payment follow-ups.

Requirements :

  • 1-2 years of work experience.
  • Ability to handle confidential information and contacts with professionalism and integrity.
  • Working knowledge of iCalendar, Calendly, Squarespace, Celeonet email client, Fillout Forms, pCloud, Google Sheets or open for training during handover.
  • Advanced communication and organisational skills.
  • Flexibility to manage tasks efficiently according to their level of urgency.
  • Knowledge of the artistic domain and classical scene.
  • Capacity to foresee needs and take initiative in fulfilling them.
  • Any other additional languages are highly advantageous.
  • Ability to manage internal and external correspondence within a specified timeframe.
  • Proficiency in written and verbal communication skills.
  • Exceptional interpersonal skills and stress management during the events.
  • Flexibility in monthly meetings with the artist (live or via Zoom) as well as weekly meetings (by phone) for planning ahead and debriefing.
  • Remuneration :

    20€ per hour based on an average of 1hr work per day (including weekends) using Toggl track system. Additional 10% of the artist’s concert fee for any concerts / events that you bring in, however, the time spent in relation to this is covered by the percentage.

    Hiring conditions :

  • Meeting with the Director of the Agency and potentially another member of the Agency.
  • Meeting with HR, including an MBTI-based assessment.
  • One month trial period.
