As a Receptionist , you play a key role in ensuring the smooth flow of raw materials and chocolate bulk deliveries at the Halle production site. You are responsible for coordinating the loading and unloading of bulk trucks, processing inbound materials and ensuring accurate registration of all transactions in SAP and related systems.

Working closely with logistics, planning and production teams, you help ensure that the right materials are available at the right time while maintaining the highest standards of safety, quality and hygiene.

Key responsibilities:

• Coordinate daily loading and unloading activities for bulk trucks carrying chocolate and raw materials.
• Verify transport documents, Certificates of Analysis and delivery information before processing deliveries.
• Review Certificates of Analysis against Barry Callebaut quality requirements and standards.
• Monitor bulk planning schedules and stay informed about expected deliveries and shipments.
• Review cleaning certificates and previous load information before unloading.
• Verify supplier approval status through approved supplier lists.
• Identify goods correctly and ensure accurate traceability throughout the process.
• Perform SAP transactions and administrative processing related to inbound and outbound movements.
• Escalate quality or operational concerns when deviations occur.
• Support continuous improvement initiatives related to logistics operations.

Als Receptionist speel je een cruciale rol in de vlotte bevoorrading van grondstoffen en chocolade op de site van Halle. Jouw verantwoordelijkheden:

• Dagelijks coördineren van laad- en losactiviteiten van bulkwagens.
• Controleren van transportdocumenten, analysecertificaten en leveringsinformatie.
• Vergelijken van analysecertificaten met de Barry Callebaut kwaliteitsstandaarden.
• Opvolgen van bulkplanning en verwachte leveringen.
• Controleren van reinigingscertificaten en vorige ladingen.
• Verifiëren van leveranciers via de lijst van goedgekeurde leveranciers.
• Correct identificeren en opvolgen van goederenstromen.
• Uitvoeren van SAP-transacties en administratieve verwerking.
• Escaleren van afwijkingen op vlak van kwaliteit of operaties.
• Meehelpen aan verbeterprojecten binnen logistieke processen.

Jouw profiel:

• Vloeiend in Nederlands, Frans en Engels; kennis van Duits is een pluspunt.
• Ervaring met SAP voor goederenontvangst en administratieve verwerking.
• Goede kennis van Microsoft Office (Excel, Word, enz.).
• Inzicht in grondstoffen, staalnames en laad- en losprocedures.
• Ervaring in een bulktransport- of logistieke omgeving is een troef.
• Zelfstandig en verantwoordelijk.
• Stressbestendig en flexibel.

• Coordonner quotidiennement les chargements et déchargements des camions-citernes.
• Contrôler les documents de transport, certificats d'analyse et informations de livraison.
• Vérifier la conformité des certificats d'analyse avec les standards Barry Callebaut.
• Suivre le planning des livraisons et expéditions.
• Vérifier les certificats de nettoyage et les chargements précédents.
• Contrôler les fournisseurs approuvés.
• Assurer l'identification et la traçabilité des produits.
• Réaliser les opérations administratives dans SAP.
• Signaler toute anomalie qualité ou opérationnelle.
• Participer aux projets d'amélioration continue des activités logistiques..

About you :

• Fluent in Dutch, French and English; knowledge of German is considered an advantage.
• Experience working with SAP for goods receipt and inventory transactions.
• Good knowledge of Microsoft Office applications, including Excel and Word.
• Understanding of raw materials, sampling procedures and loading/unloading processes.
• Experience in a bulk transport or logistics environment is preferred.
• Able to work independently and take ownership of responsibilities.
• Stress-resistant and comfortable operating in a fast-paced environment.
• Strong team player with a constructive and positive attitude.
• Creative problem-solver with strong organizational skills.

Votre profil:

• Maîtrise du français, du néerlandais et de l'anglais ; l'allemand constitue un atout.
• Expérience avec SAP pour la gestion administrative des flux logistiques.
• Bonne maîtrise des outils Microsoft Office.
• Connaissance des matières premières, procédures d'échantillonnage et flux logistiques.
• Une expérience dans un environnement de transport en vrac est un avantage.
• Autonome et responsable.
