Practice Team Assistant - US Law Firm
Brussels | Full-Time | Office-Based (5 Days per Week)

Our client, a leading international law firm, is seeking a Practice Team Assistant to join their Brussels office.
The Opportunity
As the first point of contact for clients and visitors, you will play a vital role in creating a professional and welcoming environment while providing essential administrative support to a busy team.
Key Responsibilities
Administrative & Secretarial Support
- Provide comprehensive administrative and secretarial support to professionals and support teams
- Coordinate internal and external meetings, including room bookings and attendee management
- Arrange domestic and international travel, transportation, catering, and courier services
- Prepare and process expense reports, reimbursements, and related documentation
- Assist with document preparation, formatting, proofreading, and correspondence
- Support file management, document scanning, electronic filing, and record maintenance
- Update and maintain contact databases and CRM records
- Handle confidential and sensitive information with discretion and professionalism
- Assist with ad hoc projects and administrative initiatives as required
Reception & Hospitality
- Manage the day-to-day reception function
- Welcome clients and visitors, ensuring an outstanding first impression
- Coordinate meeting room setup and hospitality arrangements
- Organise deliveries and office logistics
- Maintain excellent presentation standards across reception, meeting rooms, and communal spaces
Requirements
- Minimum 3 years' experience in an administrative, secretarial, or team support role, ideally within a law firm
- Fluent English plus French or Flemish (both advantageous)
- Strong organisational and communication skills
- Professional, proactive, and highly service-oriented
- Excellent attention to detail and ability to manage multiple priorities
