OFFICE MANAGER

For our office in Louvain la Neuve, Fugro Belgium is seeking an experienced, autonomous and motivated Office Manager to work onsite. The Office Manager will be responsible for providing comprehensive Office, Facility and Fleet support to the entity and all its employees.

YOUR ROLE
• — Manage and negotiate contracts with office suppliers and service providers, ensuring cost effective and high quality service delivery.
• — Develop, update and improve office policies and procedures, ensuring consistent and appropriate implementation across the organization.
• — Build, maintain and manage strong relationships with suppliers (cleaning, catering, etc) and building management, including scheduling repairs and preventive maintenance.
• — Oversee the full fleet management of Fugro Belgium, including electric charging administration (charging cards, Fugro charging stations, coordination of home charging installations), price analysis and comparison between providers, potential supplier sourcing, and negotiation with new service partners.
• — Maintain office supplies and coordinate with the IT department for IT equipment, accessories and software renewals.
• — Manage access badges and oversee reception duties to ensure smooth daily office operations.
• — Welcome visitors and deliveries, answer phone calls and manage the general email inbox.
• — Coordinate with Global Shared Services when relevant to ensure alignment and operational consistency.
• — Organize meetings, travel, training and events in Belgium and abroad to effectively support management.
• — Assist teams with ERP data maintenance, including creating client cards, issuing purchase orders and ensuring data accuracy.
• — Address questions and problems autonomously, taking or coordinating appropriate actions and escalating only the most complex issues when necessary.
• — Support the organization of marketing, HR and client events, including logistics coordination and on site assistance (e.g., team buildings, company drinks, recruitment fairs).

YOUR PROFILE
• > 5 years of experience in a similar position.
• Fluent in French & English, Dutch is an asset.
• Prior experience within a professional, corporate environment is essential, experience working in a multi-national organisation strongly preferred.
• Proficient knowledge of MS Office (Word, Excel, etc).
• Good working relation with team members.
• Proactive and Service-oriented attitude.
• Ability to prioritize tasks.
• Resilience.
• Excellent communication and organizational skills.
