Internship in Meeting & Events

Job Description

As a Meeting & Events Intern, you will support the Meeting & Events team in the organization and coordination of meetings, conferences, banquets and other events taking place at the hotel.

This internship offers the opportunity to gain hands-on experience in event planning, customer service, administration and hotel operations, while working closely with the Sales, Operations, Food & Beverage and other hotel departments

Key Responsabilities :

Meeting & Event Coordination

• Assist with the planning and organisation of meetings, conferences, banquets and events.
• Support the preparation of function sheets, event orders and other operational documents.
• Assist with room setup planning, seating arrangements and event requirements.
• Follow up on event details and ensure all information is communicated accurately to the relevant departments.
• Assist with preparing meeting rooms and ensuring they are ready before guests arrive.
• Support the team during events and help ensure a smooth guest experience.
• Assist with last-minute requests and operational adjustments during events.

Guest & Client Service

• Welcome and assist meeting and event guests in a professional and friendly manner.
• Respond to guest and client requests and ensure appropriate follow-up.
• Help maintain strong communication with organisers and internal teams.
• Support the team in delivering a high-quality and personalised event experience.

Administration & Organisation

• Assist with updating event schedules, guest lists and operational documents.
• Support administrative follow-up before, during and after events.
• Help monitor event requirements, deadlines and special requests.
• Assist with preparing materials, signage and other items required for events.
• Maintain accurate and organised event information.

Teamwork & Hotel Operations

• Work closely with Meeting & Events, Sales, Food & Beverage, Front Office and other departments.
• Participate in pre-event briefings and operational meetings.
• Gain an understanding of hotel event procedures, standards and systems.
• Support the team with other operational tasks when required.

Qualifications

• Student currently pursuing studies in Hospitality, Tourism, Events, Business or a related field.
• Genuine interest in the hotel and events industry.
• Guest-oriented with a positive and professional attitude.
• Well organised, proactive and attentive to detail.
• Good communication and interpersonal skills.
• Comfortable working as part of a multicultural and dynamic team.
• Flexible and willing to support operational needs, including during busy periods.
• Good command of English; knowledge of French and/or Dutch is an advantage.
